June 18th Playground Minutes

1. Presentation by Dave Warner for Habitat Systems
* Quality materials - have a long list of other schools and playgrounds where they have done projects (see catalogue)
* Habitat does not assist with any funding but they can provide us with a list of potential sources for grants. Options presented range from $14,000 to $20,000
* The price includes delivery and a site supervisor for build day
* Dave feels that 30 volunteers on the build day should be sufficient
2. Presentation by Layla Jaffer for Canadian Playsystems
* Canadian company based in Richmond. They do the all manufacturing and install.
* They can also do custom work. None of their options were less then 30,000 but they have put together some packages that may be within our budget.
* Four options presented:
1. Ocean breeze & Gyro ( wood ) $30,000
2. Aqua Ride & Gyro (steel) $31,000
3. Aqua Drive & Gyro (steel) $30,500
4. Broad oaks & Gyro (steel) $30,000
* The Gyro alone is $10,000. (We discussed the option of having some kind of " spider web" instead, which would be about the same cost).
* Layla also addressed the differences between wood and steel. The wood would begin to crack after about a year. The steel would start to chip and the paint would wear away in the high traffic areas. We would likely need to look at re- painting the structure in about 7 years.
* They would use a new screw system which would allow the structure to be anchored without the use of concrete.
* They offer a 5 year structural warranty.
3. Group Discussion:
* Habitat appears to be a superior products and came within the same cost as Canadian Playsystems Therefore, the group consensus was that Habitat was the best option.
* Selected the 2nd option with no bridge.
* Look at a potential build date of August 29th 2009.
Next Steps
* Hal to connect with Jeff from Habitat and see what type they can do for $30,000 including the secondary structure. He will also about monkey bars and other options for the secondary space.
* George to call Murray from VSB to update him on the plans, give him " tentative" date and supplier and confirm that we can use the secondary space and look into any drain/ plumbing issues.

Primary Objective: Erect a playground structure through community engagement by September 2009.
Secondary Objective/Priorities:
- Consider age appropriateness of structure
- Longevity of structure
- Increase number of playable components
- Consider accessibility of structure
- Physical and mental stimulus for children
May 26th Mtg.
Updates on Tasks Assigned/Proposed:
- meeting with contractors for quotes and recommendations on appropriate structures – Angela/Hal
o Angela and Hal met with Canadian Playsystems at the school to discuss possibilities, considerations and costs associated with new structure
- arrangements with school board for the removal and site prep – George
o George has yet to receive any return call or e-mail from Murray regarding site prep and removal and will further pursue with the school board to get the information required to move forward
- co-ordinate 50 volunteers for build day – Hal
o No update, but will be placed on future agenda
- Develop content on the Garibaldi Parents website to promote input/Determine other ways of exchanging information regarding the playground with community (e-mail blast of survey, home learners site and VLN site?) – Seanna?/Al
o Al spoke with Scott who has agreed to help him with adding content to the website in the form of a page dedicated to the playground project
o
o Page will include, details on project, survey link, blogging area, picture of existing structure and 3-d design ideas, contact information
- Develop a short survey for the web – Kate
o Kate created a draft survey, which she will further refine with some of the suggestions received tonight and will add to the site
o Seanna/Hal will communicate to a broader network about the site having info through e-mail
o Kate will draft an e-mail for them
- invite students of Garibaldi to actively participate in the planning stage (get their input as to what they would consider playable) – Hal
o Hal was successful in engaging the children of Garibaldi in step one of the planning process
o The children identified that Swings, Slides and Monkey Bars are a key desire by illustrating pictures of possible structures for the site
- handle the budgeting, fundraising and administrative duties – Kate
o No word yet on Kaboom funding
- plan out the new structure with the help of the company or organization we end up working with – TBD
o Canadian Playstations will provide a quote by Tuesday June 2nd
- Take photographs of other existing structures in Van – Al/George/Hal
o Reports back on interesting structures
- Develop an overview with basic specs, requirements and considerations for Suppliers that will be quoting
o Developed by Kate and Hal and shared with first Supplier
Play structure Considerations Discussed:

More maintenance 75% more costly than wood
- Target Age: 3 to 12
- Apparatus:
o Swings are costly, but identified as desired by students. Also special consideration due to space requirements
o Many stand alone items are expensive (costs add up quickly)
o Considerations about metal vs. plastics for apparatus equipment
- Budget: $20K will get a minimum structure for space, $35K-$50K will get a very nice structure(s) for space
- Order placement: Different companies have different lead times required
o Canadian Playstations: 3-6 weeks
o Xccent: 5-8 weeks
o Union: 8-10 weeks
- Costs:
o Delivery
o Supervision during build
o Custom items
- Capacity: A structure can be built with approx. capacity of 35 kids
Next Steps:
- Angela and Hal will engage two other identified possible Suppliers to provide quotes
- Angela/Hal to confirm warranties of companies
- Al will set up community webpage on Garibaldiannex Parents site with the help of Scott
- George will contact Murray at the school board
- Kate will write fundraising letter & letter for e-mail
- Kate will make Soc hop notice for fundraiser
- Hal will clear June 16th for Soc Hop fundraiser with school and secure necessary equipment

Playground Project
It is important that to undertake such a project, one must not only consider the costs involve but more important the kids who will be enjoying the playground.
Your project is a very useful one and the moment it takes off, will make
a lot of kids happy. Keep up the good work.
